Best practices for setting up Easy to Inspect

This is how Steel Assembly Corp. used Easy to Inspect.

Steel Assembly Corp is a construction company that is involved in the assembly of steel constructions and related construction activities. The organization is involved in high risk activities on construction sites such as working at heights & lifting. Steel Assembly Corp has implemented a safety management system and carries out multiple safety inspections to control it’s safe operation.

The company felt that the inspection activities cost a lot of effort without resulting in real benefits. It encountered difficulties in document control (different inspection lists were in use throughout the country, inspection reports were not archived centrally) and the organization lacked a good analyses system. So, a lot of effort was put in inspections, but the organization was only capable of acting on individual findings at the work spot and suffered from an administrative burden.



The team

Brad Michawitz – the HSE manager organized a meeting with it’s HSE coordinator to identify the real needs of the organization.

The outcome is summarized below:

  • Same inspection system for all sites throughout the country
  • Electronic data processing to get rid of paperwork.
  • Custom made checklists for Steel Assembly Corp.
  • Multi lingual system since Steel Assembly Corp works both in the U.S. and in Canada.
  • Inspection system with possibility to manage and follow up actions deriving from the safety inspections.
  • Possibility to analyze inspection outcomes per inspection type, region, activity and construction site.

Easy to Inspect turned out to be very fit for the purpose and very cost effective.


Think before you start

Brad and his team are very hands on, but knew that the new inspection system should fulfil the deliverables. So, instead of immediate starting with creating a checklist they considered what the output of the inspections should be:

  • Clear inspection reports.
  • Inspection reports that point out actions that can be managed and given follow up.
  • Inspection reports that can be analyzed.

A main objective was to obtain management information.

So, Brad and his team focused on creating a custom-made checklist fit for the purpose and delivering the required input for the analysis so management could be informed in a concise manner.

The inspection practice

Logan Gray works at Steel Assembly Corp since 2011 and was promoted supervisor in 2016. He is responsible for a team of 18 operators in the South-East region of the United States. Currently he supervises 5 bigger projects and coordinated the activities of the 18 own operators and 12 freelancers.

After receiving the email from the HSE team that the inspections have now to be carried out with the Easy to Inspect App, Logan downloaded the App on the App store.

Logan received an email from Brad’s team, in which his user name and login code were mentioned. He simply filled in his user name and password and logged in, in the App.

The App synchronized with the database and downloaded the checklist. Brad made sure that the more than 90 Easy to Inspect checklists were not visible for Logan and that he could only download custom made Steel Assembly Corp. checklists that were assigned to Logan. Once stored in the App, the checklist could be used, even without internet connection being available.




Just to ensure that the APP settings would fit the needs of Logan, he selected the options that all photo’s would also be stored in the gallery and that the size would be set on medium.

Logan, who has always been an early adaptor of electronical devices and Apps, decided to use the App immediately. He visited project 53124. On site, he filled in the introductory questions and selected the correct values in the filter drop down menu (such as the project number).



He then started with the BBS observation of John Grimaldi. During the inspection, it was observed that John does not always make proper use of the tools. Logan is even able to make multiple pictures of the incorrect practice as an  illustration. After filling in the inspection, Logan discusses the matter with John, in order to investigate what causes this behaviour. Logan selected a probable cause in the App and included a comment / action.

After completing the checklist, Logan immediately sent in the report, curious of the result. Normally he would do so if he would have Wi-Fi connection so he would not consume his cell phone data plan by sending in reports with photos.

Almost instantly Logan received an email with the report attached.



Non conformity / action management

Logan discussed the behaviour of John Grimaldi and found out that the equipment department did not sent all proper tools that were needed at the project. Although he discussed with John Grimaldi that this is no excuse for improper and unsafe use of other equipment, since this could lead to serious injuries, he would like to set out an action to the equipment department.

So he logged in on the website of Easy to Inspect. He selected his checklist and opened the action management function. Logan selected the action and appointed this action to the equipment department by sending an email.


Logan considers this to be a very useful option since the equipment department was not even provided with the App.

By the way, Brad’s team has administrator rights and can monitor all non conformities.



The month end – management information

Every second Tuesday after the month end a management meeting is held. After the first full month of using Easy to Inspect, Brad was eager to show the analysis function to the management.

It was now clear that the first month already gave detailed information, on which management could start to consider taking actions.



Customer reporting



Furthermore, Steel Assembly Corp signed a Service Level Agreement with one of its customers on safety reporting. Brad felt that the Easy to Inspect analysis feature, could support this SLA fulfilment. Brad could now report on the outcome of the BBS inspections of this customer’s projects. Brad therefor prepared a first analysis report by using the customer filter.
